Tasks

Recurring checklists, interval maintenance, and one-off tasks for your team.

What tasks are

Tasks let a team track recurring work that lives alongside the schedule — opening checklists, cleaning routines, machine maintenance, or a one-time job on a specific shift. Workers tick tasks off during their shift (on the web or at the kiosk check-out), and managers see what was done, by whom, and what was missed.

Tasks are a Pro feature. An organization admin turns them on under Settings → Shifts & scheduling.

Task types

  • Per-shift checklist — attached to a role. Every qualifying shift for that role gets the task, and it is ticked once per shift. You can narrow which shifts qualify by weekday and by time window (for example, only shifts that end after 20:00 get the closing checklist).
  • Interval maintenance — a rolling "every N days, ± tolerance" clock for the whole team, like descaling the coffee machine every 14 days. The clock resets whenever the task is completed. When creating one you can set when it was last done, so the first due date is right.
  • One-off — attached to exactly one shift. Add these from the shift panel in the planner.

Status board

The Status board tab shows every interval task with its clock state — upcoming, due, or critical (past due plus tolerance) — along with the due date and who completed it last. Managers are notified when a task turns critical. Tasks can be marked done here directly, for example when the work happened off-shift.

History

The History tab lists completions and misses over a date range, filterable by task. Missed per-shift tasks can be retro-completed. Completions made after the shift window count as done but are marked late.

Ticking and undo

Workers see their shift's open tasks during the shift and at kiosk check-out — open tasks never block checking out. A worker can undo their own tick while still within the shift window; managers can undo any completion on their team within 24 hours.

Task definitions that already have history are archived rather than deleted, so past completions stay on record.
