Reports
Understanding the reports available in Plantime — hours, costs, and competencies.
Overview
Reports give you a summary of scheduled and worked hours, labour costs, and competency coverage across a date range. They're useful for reviewing a completed period, preparing payroll input, or analysing how your team's time is distributed.
Running a report
Go to Team → Reports and select a date range. Reports are generated for the selected period and reflect the shifts on the schedule for that time.
Available reports
Hours and costs
A summary of total scheduled hours and estimated cost broken down by person. Each row shows:
- Person name and contract
- Total hours scheduled
- Estimated cost based on their hourly or monthly rate
Use this to sense-check labour costs before publishing a schedule or to review actual costs after a period closes.
Competency breakdown
Shows hours and cost per competency across the period. Useful for understanding how your labour is distributed across roles — for example, how many hours went to kitchen vs front desk.
Leave
A summary of leave taken during the period, broken down by person and leave type. See Leave requests for how leave is managed.
Date range
Reports can be run for any date range. For best results, align the range with a scheduling period — this ensures the data reflects a complete, published schedule rather than a partial one.
Exporting
Reports can be exported for use in payroll or external tools. Use the Export button to download the data.
